Rescheduling Procedures

Need to Reschedule Your Game?

Here are our game rescheduling procedures:

1) Fairfax County Cancellations:
 
If your game is postponed or cancelled due to a snowstorm or a school otherwise taking back the gym on a game day, the league will automatically reschedule the game.  You will not have to do anything.
 
2) Any Other Postponements:
 
If you want/need to reschedule one of your games for some other reason, you will need to contact us at least 24 hours before the game time.  We are also going to ask you to take on some of the legwork. 
 
a) Get the other coach's approval - Before contacting the league, ask the other coach if he/she will even approve of a reschedule -- it is his/her right to say no. 
  • If the opposing coach says no to a reschedule, decide whether or not you want to forfeit the game.  If not, be sure to arrange for an assistant coach who has gone through our prerequisites.
  • If the opposing coach says yes, both coaches must contact the league first before we try to arrange a reschedule.
b) If the other coach approves - Once both coaches approve, the league will do its best to offer multiple options for a reschedule time.  Please make a good-faith effort to approve the new time slots -- if you have at least 4 players available for the new time, you should approve of that time.
  • Both teams must contact ALL their players/families first before approving or disapproving a new time slot -- unfortunately, in the past, some coaches have used this procedure to only contact their best players.  This obviously cannot be tolerated.
c) If offered times aren't satisfactory - if none of the rescheduling options work, you may attempt to swap a game time with two (or more) other teams. 
  • All 4 (or more) team coaches must contact ALL their players/families first before approving the swap.  
  • All 4 (or more) coaches must then contact the league directly to express their approval before any swap can be approved. 
  • If these all occur, while likely, there is no guarantee that the league will approve the swap.  However, if the swap is not approved, the league will certainly explain its decision to the coaches.

Need to Reschedule a Practice?

Here are our procedures for rescheduling a practice:

1) Fairfax County Cancellations:

Please note that if FCPS closes the gym on the evening of your practice, we do not automatically schedule your for a replacement time.  You must still request a new slot per the steps below.

2) Check Time Slot Availability:

Check our coaches-only practices spreadsheet, which you can access via the link that we emailed you at the beginning of the season, for available times, dates and locations.

  • We can only grant your request for a new practice slot if the new date is the week before, the week during, or the week after your regularly-scheduled practice.
  • Example:
    • Team X wants to cancel their normal Tuesday, January 14th, 2020 slot at Gym A. 
    • Team X may request any single available replacement slot for any weeknight at any of our gyms during the following weeks:
      • Monday 1/6/2020 to Friday 1/10/2020 (the prior week);
      • Monday 1/13/2020 to Friday 1/17/2020 (the present week); OR
      • Monday 1/20/2020 to Friday 1/24/2020 (the following week).

2) Email Your Request:

Email turnpike.basketball@gmail.com with your specific request (please include the exact time, date, and location of your desired replacement practice). 

3) League Response

The league will respond to you, usually within 24 hours, to let you know if your requested slot is approved. 

  • New slots are granted on a first-come, first-served basis, so consider requesting multiple times and dates in your email to improve your chances of getting your requested slot ASAP.

NOTES:

  • Only the league office can schedule a new practice slot for you and update the practice spreadsheet.
  • Remember, you must have prior league approval before using any practice slot at any of our gyms.
